Winter Closure dates and paid days off
Winter Closure this year is from Wednesday, Dec. 21st, through Tuesday, January 3rd. Normal operations resume on Wednesday, January 4, 2023. Listed below are the three paid holidays and ALL offices will be closed on the dates listed below.
The University will provide three (3) additional days off (ADO) with pay. The additional days off with pay may be taken on any normal workday during the Winter Closure period that is not an employee’s regularly scheduled day off or a designated University holiday. For the other regular workdays during close that are not designated by the university as official holidays or a paid day off, employees are expected to use their available accrued PTO, floating holiday, vacation, unpaid time off, or any combination of these.
Timecards
Ensuring your timecard is completed for both pay periods in December prior to the start of Winter Closure is important. The three additional days off that are granted must be reflected on timecards with the Additional Day Off (ADO) code; please review the detailed instructions on the Fingate website. Please make sure to complete your timecards for both pay periods in December (PPE 12/15/22 and 12/31/22) before the end of the day on December 14, 2022.Payroll run (lockout) is set for Friday, December 16th.
Three Reminders:
- New hires are eligible to “borrow” against future time off, and accruals may be taken in this order: vacation accrual, floating holidays, and PTO, to avoid unpaid days during Winter Closure.
- Temporary and casual employees are not eligible for paid holidays or floating holidays.
- Winter close policies do not apply to postdoctoral fellows and students.
Areas not closing: flexibility for three paid days off
Except where operations must continue, all areas of the School of Medicine are asked to close during this two-week period. Where it is decided that an area will not close due to operational priorities or other critical work that must be done, employees in those areas will have the flexibility to use the three paid days off by February 28, 2023. If there is a critical need for you to work during winter close, this must be approved in advance. Please email your request for an exception to Cheryl Joo no later than December 14, 2022
